Privacy statement

In this privacy statement, we explain how we treat your personal information: what information we collect and what we use it for. We also explain how you can inspect, change or delete your data. We think it is important that you are well informed about this and recommend that you read this statement carefully.


Tenants’ association De Eerste Kamer considers the protection of your personal data very important. In this Privacy Statement, we want to provide clear and transparent information on how we handle personal data.

We do everything in our power to safeguard your privacy and therefore handle personal data with care. Tenants’ Association The Senate complies in all cases with the prevailing laws and regulations, including the General Data Protection Regulation (in Dutch: Algemene Verordening Gegevensbescherming). This means that in all cases:
– We process your personal data in accordance with the purpose for which they have been provided, these purposes and type of personal data are described in this Privacy Statement;
– The process of your personal data is limited to the data that is required as a minimum for the purposes for which it is processed;
– We have taken appropriate technical and organizational measures to ensure the security of your personal data;
– We do not pass on personal data to other parties;
– We are aware of your rights concerning your personal data, inform you of them and respect them.
As tenants’ association De Eerste Kamer, we are responsible for processing your personal data. If, after reading our Privacy Statement, or in a more general context, you have any questions or comments about this, you can do so by contacting us via the contact details at the bottom of this document.

Processing of personal data of members
Personal details of members are processed by the Tenants’ Association of the Senate for the following purpose(s):
– Administrative purposes;
– Communication about membership;
– Providing services to members;
— Sending surveys and polls among the members of De Eerste Kamer;
— Recruitment actions for board members, for example;
— Sending out invitations to the Annual General Meeting
— Sending out a periodical Newsletter. It is possible to unsubscribe from newsletters by clicking on the unsubscribe link attached;
— Notifying tenants of matters that concern them as tenants of DUWO;
— Sending a welcome message at the start of the contract (from spring 2020).

Data provision from DUWO
De Eerste Kamer receives from DUWO Foundation, on the basis of automatic membership, part of the personal data you provide to DUWO for the above purpose(s). This concerns the following personal data:
– Address
– Complex number
– Commencement date of the rental contract
– End date of the rental contract
– Name tenant 1
– Name tenant 2
– E-mail tenant 1
– E-mail tenant 2
– Zip code
– City
– VHE-number
– Rental contract number
– Contact number
Furthermore, when you submit a form on our website (www.de-eerste-kamer.nl) or fill in polls added to mailings, we receive information that you provide to us at that time.

Processing agreement with DUWO
Tenants’ association De Eerste Kamer and DUWO have mutually entered into a processing agreement on the basis of the AVG. DUWO fulfils the role of processing supervisors and the Senate of processors. In this agreement we have agreed that DUWO collects the data of our members and shares it with us on a monthly basis. The data is shared in an encrypted form. In addition, we have made the necessary agreements regarding the processing and security of your personal data.

Distribution to third parties
De Eerste Kamer will not share your details with third parties. However, we do use third-party automation solutions for sending matters such as e-mails and surveys. These include Lasso, Laposta and Google Forms. These parties use their own privacy statement. These privacy statements can be found on the website of the party concerned.

Period of storage
Your personal data will be kept by the Tenants’ Association De Eerste Kamer for the purpose of the processing(s) previously mentioned for the time period:
– During the term of the membership, or the tenancy agreement with DUWO.
After termination of the membership or the tenancy agreement with DUWO, your details will be deleted after one year.
This retention period only relates to the data provided to us by DUWO. The data that you, as an individual, share with us as a result of, for example, email contact or a job application, will be retained until the board of De Eerste Kamer no longer considers these data relevant, with a maximum retention period of one year.

Security
We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing. For example, we have taken the following measures;
– We have a username and password policy on all our systems;
– Our board members have been informed about the importance of protecting personal data.
Rights concerning your data
You have the right to inspect, rectify or remove the personal data we have received from you. You can object to the processing of your personal data (or part thereof) by us. You also have the right to have your personal data transferred to you by us. We may ask you to identify yourself by emailing us at our known email address before we can respond to the above requests.

Complaints
If you have a complaint about the processing of your personal data, please contact us directly at the e-mail address below. If we are unable to resolve the matter with you, we will of course find this very inconvenient. You always have the right to submit a complaint to the General Data Protection Regulation (GDPR) , this is the supervisory authority in the field of privacy protection.

Revisions of this Privacy Statment
The Senate reserves the right to amend this privacy statement after approval by the General Meeting of Members.
